Here at Barkston, The Home of The Plastic People (Barkston Plastics Ltd and Barkston Plastics Engineering Ltd), we take your privacy seriously.  We promise to behave responsibly with any information you share with us.

This Privacy Notice explains the types of personal data we may collect about you when you interact with us. It also explains how we’ll store and handle that data and keep it safe.


IN SUMMARY

  • we use your information to provide the best service we can, send you informative emails and to get more people with the plastic solutions they require. 

  • we collect your personal information when you visit our websites, buy products and services from us, create an account with us, engage with us on social media or contact us by any means with queries or complaints, when you enter prize draws or competitions, complete any surveys we send you and when you comment on or review our products and services.

We do not trade or sell or in any other way misuse the information you provide us.

 

YOUR INFORMATION AND WHAT WE DO WITH IT

The information you share with us tends to be your name, gender, billing/delivery address, email and phone number, orders and receipts. We also keep records of interactions with us via phone, in person or online. Any personal information is stored securely on auditable systems. Only Barkston staff can access your personal information. We will only use your information for the purposes outlined below. PAYMENT DETAILS

We do not store your payment information. All transactions and card details are processed and held securely by Sage Pay using their merchant services. Access to this by Barkston staff is secure and audited and is for customer service or financial reporting purposes only. You can find out more about Sage Pay’s privacy policy here.


DELIVERY

In order to get your goods to you we need to share some of your information with our courier partners.  We share the name and address so that the parcels can be tracked and delivered. If you have provided us with your email or mobile phone number, we will also share this information so that you can receive updates on your package(s) by email or SMS. Under no circumstances are our couriers allowed to use this information for any other purpose. Currently our courier service is provided by TNT.  You can read more about TNT’s privacy policy here.

CUSTOMER SERVICE

As part of providing a consistently high level of service we work with independent reviewer Trustpilot to seek and publish reviews from our customers.  We share the name, email address and product purchase with Trustpilot to operate this service. We may also send you survey and feedback requests to help imporve our services. These messages will not include promotional content and do not require prior consent when sent ny email or text message. We have legitimate interest to do so as this helps make our products and services more relevant to you.

To make the checkout on our website easier to use we use an address lookup service based on your postcode which is a service provided by PCA Predict. This look-up service is optional, so you can choose not to use it. If you do use this service your IP address, keystrokes and search results only, are stored in the UK for 30 days on PCA Predict servers and an additional 7 days on backups.
 
Should you have cause to email us about a product, order or subscription we will keep a copy of this communication so that we can provide a consistently high level of customer service.
 

EMAIL AND OTHER COMMUNICATIONS

If you are a business customer we will use your email address to send you information about the materials we have sent you. These aren’t sales or marketing emails. They are linked to our service so that we can tell you about the material because we think usage improves when you are fully informed about the properties and qualities of it.  When you cease to order material from us, we will stop sending emails relating to them. You can unsubscribe from these yourself at any point by clicking the unsubscribe link at the bottom of the email.

If you are a customer of The Plastic People and, from the 25th May 2018, have opted in to receive email communication from us you will receive emails from us with care and maintenance tips, ideas and assistance with projects and occasional offers. You can unsubscribe from these at any point by clicking the unsubscribe link at the bottom of the email.

On occasion, maybe twice a year, we might send you communication by post. We will only send you marketing material in the post if you’re a recent customer (i.e. made a purchase from us in the last two years) and if you’ve opted in to this service. In order to do this, we will share your address details with a third party fulfilment company (e.g. Royal Mail) but under no circumstances will we sell, trade or allow this information to be used for anything else.
 
No one wants ‘junk mail’ so you can opt out of this communication at any point by contacting us at service@theplasticpeople.co.uk , calling us on 0113 249 2222 or returning any unwanted mail we sent you back to us. If you want to opt out of all direct mail, then we advise that you use the Direct Marketing Association’s Mailing Preference Service. Here you can choose to stop all future direct mail entirely. YOUR ACCOUNT

If you have an account with us to log in, view orders and manage your subscription we’ll use the personal information you give us to provide this service. Should you use this service you will be able to modify or delete this information as you wish.


SOCIAL MEDIA AND ANY FEEDBACK YOU SEND US

If you choose to interact with us on social media or send us feedback by email we may choose to use this information to improve our customer service or gain insights into your material usage for the purposes of developing our goods and services. Please remember that comments on our social media pages (excluding direct messages) along with any posts on our forum are there for anyone to see.


WHICH OTHER WAYS DO WE USE YOUR INFORMATION?

In specific situations, we require your data to pursue our legitimate interests in a way which might reasonably be expected as part of running our business and which does not materially impact your rights, freedom or interests.

In order to help develop better plastic solutions we may use personal details which help us to send or make available personalised offers. For example, you might tell us your preferences for plastic properties which we’ll use to guide suggested items or to recommend other appropriate solutions. We’ll only ask for and use your personal data collected for recommending items of interest and to tailor your experience with us. Of course, it’s always your choice whether you share such details with us. 

We combine shopping history of many customers to identify trends and ensure we keep up with demand or develop new products and services. We may also provide plastic manufacturers, manufacturing companies or retailers with feedback or information on trends relating to plastic. Any information used will be aggregated and under no circumstances will any personal information be disclosed. We use aggregated personal data for internal business reports (inc. financial reporting), forecasting sales and growth.
No personal information will be included in any external business reports.
 

COOKIES & WEBSITE EXPERIENCE

Like many other websites, we make use of cookies to improve your experience on our website. A cookie is a small text file that a website saves on your computer or mobile device when you visit the site. This can then be used to remember your actions and preferences. An example being that we’ll set a cookie when you close our newsletter banner, as it wouldn’t be preferable to show you this repeatedly.

We also use 3rd party services that set cookies, at the time of writing these are:

SECURITY

Our website uses https, which means that anything sent between your device and our servers will be encrypted, preventing others from snooping in on your data. The SSL certificate tells you that pages you visit on our website are provided by us. All of our payment processing is handled by Sage and we do not store any credit card details on our systems. We use a Content Management System (CMS) that is tested from a security point of view on a regular basis. We also keep this updated to ensure that any issues that may arise get fixed.

Our website is hosted in secure data centres within the UK. Access to these services are restricted internally. Any information we have stored on databases is encrypted by default. We take backups of our website and associated services every day, and these are kept for up to 7 days. We do not use any personal information during any internal testing of our website.
 

GOOD HOUSEKEEPING

Our warehouse stores plastic, not data. We delete or anonymise any records we hold that no longer serve any useful function. For example, any records of deliveries are deleted after 90 days and all sales data is anonymised after two years.

We will keep our Privacy Policy updated on a regular basis to ensure that it is comprehensive and clear. We will make changes in it to reflect any questions or feedback we get, to ensure compliance with GDPR and implement any good practise that we identify.
If we make any substantive changes to our use of personal information we will make this clear by emailing you for consent and by placing a notice on our website.
